For veterinary teams

Protect the clinical team from the phone queue.

Handle routine calls, capture the facts a team needs, book only inside approved rules, and move clinical questions to a person.

From call to outcome

The workflow is designed before the conversation.

Each step names what the agent may do, where the information comes from, and what happens when the preferred path is unavailable.

  1. 01

    Understand the request

Classify routine scheduling, records, prescription, policy, billing, urgent, or staff-required language.

  2. 02

    Collect the right details

Capture owner name, pet name, species, age, breed, callback information, reason for calling, and timing preference.

  3. 03

    Use approved knowledge

Answer hours, location, services, payment, and preparation questions only from reviewed practice sources.

  4. 04

    Check a connected system

Offer availability only when an authorized calendar returns valid slots. Otherwise capture a request for staff.

  5. 05

    Close with a real outcome

Confirm what was actually completed, route exceptions, and preserve transcript, recording state, policy version, and action receipt.

Calls the desk can own

Specific work, with a specific finish.

The agent is not asked to “handle everything.” These are the repeatable call types that can be rehearsed, measured, and handed back to staff cleanly.

01

Wellness and vaccines

Collect patient context and check approved appointment availability.

02

New client

Capture owner, pet, reason for visit, timing, and practice-specific onboarding details.

03

Prescription or records

Collect the request and route it for staff review. Never promise approval or timing.

04

Symptoms or urgent concern

Do not diagnose. Follow the practice-approved human or emergency route.

05

Practice FAQ

Answer reviewed questions about hours, location, services, payment, and preparation.

06

After-hours call

Apply the configured coverage rule and leave a complete callback task when transfer is unavailable.

Operating boundaries

The agent knows when the job belongs to a person.

Boundaries are product controls: instructions, tool eligibility, transfer routes, acceptance tests, and evidence after the call.

  • No diagnosis or medical advice
  • No promise of clinical availability
  • Emergency language follows the practice-approved route
  • Source and connector actions remain reviewable

Conversation evidence

Staff can see what happened — not just that a call occurred.

The record separates the caller’s words, the policy used, the action attempted, the provider result, and the next owner.

Systems around the call

Connect only what the workflow needs.

General CRM and calendar tools are different from industry systems. The readiness catalog makes that distinction visible before a sale.

Review connector readiness
  • Google Calendar
  • Google Sheets
  • Zoho CRM
  • HubSpot · controlled rollout
  • IDEXX / ezyVet · partner access
  • Cornerstone · partner access
  • AVImark · partner access

“Partner access” and “coming soon” are not live connectors. A customer-authorized account and bounded acceptance test are required before any production action is claimed.

Questions before launch

The important details should not be buried.

Can the agent give medical advice?

No. The default veterinary boundary prohibits diagnosis and medical advice. Clinical and urgent language follows the practice-approved escalation route.

Can it confirm an appointment?

Only after an authorized calendar write succeeds and the provider result is reconciled. Otherwise it says the request was captured and no appointment was booked.

What information can it collect?

The practice chooses the fields. A typical intake includes owner and pet details, callback information, reason for the call, and preferred timing.

Can it work with our practice software?

Google Calendar, Google Sheets, and Zoho have product paths with customer setup. HubSpot is in controlled rollout. Veterinary PIMS access depends on provider partnership and a real test tenant.
